Basic Things to Know About Sharing Content

To share your screen in a meeting, select Share share icon in your meeting controls. Then, choose to present your entire screen, a window, PowerPoint Live, Excel Live, a whiteboard, or something from your OneDrive or File Explorer.

When you are done sharing screens, go to your meeting controls and select Stop sharing.

Include computer sound:

Sharing your computer sound lets you stream audio from your computer to the meeting participants through Teams. You can use it to play a video or audio clip as part of a presentation.

To share sound, select Share Share icon  in your meeting controls and then Include Sound. All sound from your computer, including notifications, will be audible in the meeting. For more info, check out Share sound from your computer in a Teams meeting or live event.

Share Slides in Microsoft Teams meetings with PowerPoint Live

PowerPoint Live in Teams gives both the presenter and audience an inclusive and engaging experience.

Presenter

Preset your slides:

  • Select Share share button image in your meeting controls
  • Select the file under PowerPoint Live
  • If it is not listed under PowerPoint Live, select Browse OneDrive or Browse my Computer to find a different file

Navigate through the slides:

You have several tools to use while you present your slides. 

  1. Use the navigation arrows to go forward or backward.
  2. Use the Grid View button to view all of the slides in the presentation in a grid view. Select one to jump to it.
  3. Use the thumbnail strip to jump ahead or backward.

Stay connected to the audience:

  • Turn Chat on or off to view what your audience is saying
  • Turn Private View on or off to allow or prevent your audience from moving through the slides on their own
  • See audience reactions and raised hands in real-time
  • Change the Layout of your presentation and how your live camera feed appears
  • Use the Laser pointer, Pen, Highlighter, or Eraser to reference items on your slides clearly

Audience

Audience View will allow participants to personalize their experience without affecting anyone else. 

  • Use the navigation arrows to move around to different slides
  • Click Sync to Presenter to go back to where your presenter is at
  • Click any hyperlink on slides to get more context right away
  • Interact with videos on slides to adjust the volume or jump to a timestamp and consume it at your own pace
  • Use a screen reader to get full access to the slide content
  • Translate slides into one of 19 languages
  • Switch to high contrast

Give Control

If you want a meeting participant to change a file, help you present, or demonstrate something, you can give control to that person. You will both be in control of the sharing, and you can take back control anytime.

Note: When you're sharing an app, only give control to people you trust.

To give control to a participant:

  • Share your screen or application in the meeting
  • On the sharing toolbar, select Give control
  • Select the name of the person you want to give control to
    • Teams will send a notification to that person to let them know you're sharing control
    • While you're sharing control, they can make selections, edits, and other modifications to the shared screen
  • To take control back, select Take-back control

Zoom into shared content

Want to get a better look at shared content? Click and drag to see different areas. To zoom into our out of content someone is sharing, use the buttons at the lower left of your meeting window [+] to zoom in and [-] to zoom out.

You can also try the following:

  • Pinch in or out on your trackpad
  • Use Teams keyboard shortcuts
  • Hold the Ctrl key and use the scroll wheel on your mouse
